Karting Benelux App Privacy Policy
Last updated:
This policy covers the Karting Benelux companion app and the website pages opened inside it. Public browsing and the offline tools are available without an account. The app supports accounts and existing memberships. A link opens free account registration in your browser, where the website processes your username, email address, password, verification request and optional newsletter preferences. After email verification, you can sign in to the app. Neither the app nor this signup flow offers membership purchases.
The Privacy Policy also applies to website features and explains the legal bases, international transfers and privacy rights. The Cookie Policy describes website storage and external services. See the Account and data deletion instructions.
1. Who is responsible
The controller is Crauwels Arne, trading as Lespa Software Solutions, Kerkhofstraat 27, 2845 Niel, Belgium. Enterprise number: 0684.706.469. VAT number: BE 0684.706.469.
For privacy questions or requests, contact info@kartingbenelux.com, info@lespasoftware.com or +32 (0)456 06 57 38. The app and website use the same controller and privacy contact.
2. Information kept on your device
The app stores your chosen language, stopwatch state and recorded laps, and your personal best in the reaction game. Older installations may also contain race names, dates, locations, public links, notes and kit checklists. These older race notes are available as a read-only archive under More; the current release has no local race editor.
This information is stored locally to provide the offline tools and preserve your choices between launches. The app does not upload it or automatically copy it to your website account. Website favourites, My Season and Team HQ are separate online features. The illustrated guides are bundled with the app and do not save reading progress.
3. Website features and information sent online
Opening a website feature connects to kartingbenelux.com over HTTPS. Before loading it, the app requests the website compatibility information. These requests expose network information such as your IP address, requested page, time and app/browser details to the website and its hosting provider.
When you use the corresponding features, the website receives your sign-in details; profile name, email, address, phone and selected pictures; searches and saved alerts; favourites; season plans and notes; submitted listings; team invitations, messages, attendance and tasks; and budgets, expenses, cost shares and repayments. An approximate position can be derived from your profile city and country for distance features. This is separate from the phone's GPS.
We use these data to authenticate you, provide the features you request, manage your account and protect the service against abuse. The embedded browser manages website session cookies. The native offline tools do not read your password. Email search alerts and account messages are website services; they are not native push notifications.
4. Service providers, advertising and your choices
Website features use hosting, database, backup and email providers. Depending on the page and your choices, requests also reach Google for Fonts and reCAPTCHA, OpenStreetMap/OSMF and Nominatim for maps and geocoding, Cloudflare CDNJS for the map library, and Plausible for website statistics. Existing membership and invoice records may refer to Mollie payments; this app does not offer a checkout. The Privacy Policy and Cookie Policy explain the recipients and transfers in more detail.
Website pages can show sponsor advertisements. Plausible and first-party page/ad measurement run only with your website statistics consent. Ad measurement may include the advertisement and placement, page/referrer, browser details and an HMAC-hashed IP address. Technical security logs are separate. Google reCAPTCHA loads according to your cookie choice or when you activate it beside a protected form.
The native app has no native analytics or advertising SDK, advertising identifier, remote push service, or GPS tracking. It does not read your phone contacts or calendar. Optional website picture uploads use the system file picker. These limits do not mean that the website features collect no data.
Use Cookie settings inside the app to manage website choices. The app's embedded browser can have different cookies and consent choices from your ordinary browser. Newsletter preferences and saved-search alerts are managed separately in your account.
6. Retention and security
Local app records remain until you clear them or remove the app's storage. The app does not add its own encryption to this local storage; protection also depends on your device and operating system. The current Android build disables Android's automatic app backup. Copies you make or share elsewhere are controlled separately.
Website connections use HTTPS and the embedded browser blocks insecure mixed content. Website data are protected by account/session controls and the measures described in the Privacy Policy. Account and planning data remain while needed to provide the account and service, then only where a legal, security or dispute-related reason requires retention. Accounting records and rotating backups follow the retention criteria in that policy. No system can guarantee absolute security.
7. Clear local app data
- Open More → Privacy & local data.
- Choose Clear local race data and confirm.
This clears all older local race notes and checklists, stopwatch data and reaction records. Your selected language is retained. It does not sign you out, reset website cookie consent, delete your website account, or remove favourites, My Season or Team HQ records. Use the next section for account or server-data deletion.
8. Request account or data deletion
Request deletion of your Karting Benelux account and associated personal data, or selected server-held data, using the Account and data deletion instructions. Open My account → Privacy & data deletion in the app or website, choose the scope and confirm with your current password. You receive a reference and can follow the request status on that page. Our team reviews and carries out the deletion; submitting a request does not immediately erase the account or cancel a subscription.
The same public page works without installing the app. If you cannot sign in, email info@kartingbenelux.com with your account email or username and the requested scope. Never email your password. We verify identity proportionately and normally respond within one month, explaining any lawful extension.
We delete or anonymise personal data that no longer need to be retained, including profile and private planning records, and address personal attribution in shared records. We review recurring renewals and shared ownership before completing account deletion. Limited invoice, tax, dispute or security records may need to remain for the applicable legal period or as long as necessary for that purpose. Our reply explains retained records, reasons and duration. Backups remain restricted and erased data must not return to active use after restoration.
This also covers the request details and contact information used to handle and evidence your request, retained only as necessary for that purpose. Clearing local app data, signing out or cancelling membership does not itself delete your server account.
9. Your rights and policy changes
You may request access, correction, erasure, restriction or portability, withdraw consent, or object where applicable. Contact info@kartingbenelux.com. The Privacy Policy explains the conditions, legal bases, transfers outside the EEA and how to complain to the Belgian Data Protection Authority.
We update this page when app features or data practices change. The date above identifies this version. Material changes are communicated where appropriate. The Terms and Conditions apply to use of the service.
